Booking and admin

What are your payment terms?

To secure your booking for a shared party, we’ll need a deposit of £55 + VAT per guest. The balance will be due 6 weeks (42 days) before the event.

Private parties are quoted individually and have different payment terms. Call us on 020 7183 3821 and we’ll talk you through everything.

We’d need a VAT invoice for our finance department. Is that OK?

Yes, absolutely. Just give us the email address and we’ll do the rest.

Can you send the booking paperwork for our Managing Director to sign?

Of course. Let us know where to send the paperwork, and we’ll sort everything out for you.

We might be recruiting this year. Can we add additional guests later?

We’ll be as flexible as possible. Please let us know about any changes no later than 3 weeks before the party and we’ll do our best to accommodate them. Provided there is availability, we can add to your booking — although please bear in mind, we can’t guarantee this.

If you want to add guests, contact us on 020 7183 3821 or email [email protected]. We’ll let you straight away if there’s availability. If there’s enough space for additional guests, full payment will be required in order to secure the booking.

What are the minimum and maximum guest numbers?

The minimum number of guests is 8. The maximum varies from one venue to another — anything from 400 all the way up to 900 people. Check out our shared Christmas parties for the individual details of each party.

About the event

Is there an option to have the whole event space to ourselves?

Yes. If you have 200 or more guests, you can book one of our private Christmas parties where you get the entire event space to yourselves. Contact us on 020 7183 3821 for a chat about the details.

With a shared party, can we seat departments together?

Yes. During the booking process, we’ll ask about your preferences.

Which other company sectors and industries will be attending the party?

There will be a whole variety of local businesses at the party. If you enjoy informal, relaxed networking this is a great opportunity.

Can we have presentations, awards and speeches at the party?

Not at a shared party. However, you can do this by booking a private dining room — provided they’re available at the venue — or by opting for a private Christmas party where you have the whole event space to yourselves.

Can we host a business meeting at the hotel before the party?

Yes, our city-centre hotel venues are also business hubs. During the afternoon before the party, you can use the venue’s business suite for client or staff meetings. It’s a great way to combine business with pleasure.

We don’t want our company name displayed at the event. Will this be OK?

Yes, of course. Just let us know when you book. We’ll make sure your table is clearly identified by an individual name, rather than a company name.

The menu and drinks

Can the hotel cater for different dietary requirements?

Yes they will. Once you’ve booked, we’ll send you a function sheet. Use this to let us know the names and dietary requirements of any guests. We’ll inform the chef so that each person is catered for appropriately.

The only exception to this is Kosher food. It can’t be prepared at the hotel. Kosher food comes via a separate caterer and incurs an additional charge. Call us on 020 7183 3821 and we’ll talk you through it.

Are drinks included?

Yes. You have a choice of 2 all-inclusive drinks packages.

All-Inclusive Standard gives you unlimited wine, beer and soft drinks.

Alternatively, you can upgrade to All-Inclusive Plus. This gets you unlimited wine, beer and soft drinks — plus 6 single spirits (with or without mixers), or glasses of Prosecco.

With both options, all-inclusive drinks are served from 8pm until 12.30am.

The venue

Staff are travelling from around the country. Can they stay over at the hotel?

Yes, although we’re unable to arrange the booking for you. You’ll need to book rooms directly via the hotel.

Is it easy to get there and back by public transport?

It’s very easy, because our hotel venues are centrally located. Most of them are just a few minutes’ walk from tube and train stations.

Can we leave our luggage somewhere safe during the event?

Yes, there’s a concierge service at our hotel venues. You can safely leave suitcases and other luggage with them during the event.
